The difficult part of a yacht trip with friends is often not choosing the boat. It is agreeing on the budget, getting firm answers and keeping one person’s changing plans from becoming everyone else’s surprise expense. Start with a clear group agreement before collecting money.
For H2OH, the trip is a private crewed charter from Puerto Aventuras Marina. Your friends are sharing the cost of their own booking, not buying individual seats on a public party cruise.

Nominate one booking contact and one backup. Give friends a response deadline, but do not describe your own group deadline as an H2OH rule. Confirm the booking’s actual payment and guest-change terms separately.
Compare the whole group cost
Request the charter fare, additional guests, marina fees, transfers, chosen extras and payment charges. The guest allowance included in a fare is different from the yacht’s maximum capacity. Review the current yacht and charter listings using the same date and headcount.
Decide which expenses everyone shares and which belong only to the people requesting them. An optional photographer or bottle upgrade should not become an unexpected charge for friends who did not agree to it.
Show how the contribution could change
Here is a fictional budgeting example, not an H2OH quote: if the shared amount is $2,400, twelve equal contributors pay $200 each. If only ten contribute and the shared amount stays $2,400, each share becomes $240. In a real booking, some passenger-related costs may also change; ask for a revised estimate rather than assuming either the total or the share is fixed.
Agree what the group will do if someone drops out, whether the host covers a shortfall and whether optional extras can be removed. Your private agreement between friends does not change the provider’s cancellation or payment terms.
Choose the experience before adding extras
Ask everyone for one preference: reef snorkeling, a coastal swimming outing or an evening together. Compare the actual route and duration rather than promising an island-hopping trip or every water sport in one booking.
Regular all-inclusive H2OH charters include meals and a standard open bar. Family options include meals and non-alcoholic drinks without the open bar; Custom Series has separately selected food and drinks. Confirm outside-food and alcohol rules for the package rather than telling everyone to bring their own drinks.
Coordinate the practical details once
Share a single message with the confirmed marina, pickup appointment, departure and return, packing guidance and organizer contact. Use the transportation guide for planning and provide exact hotel addresses. Arrive 20 minutes before departure.
Ask about access needs and meal requests early. Keep water activities optional, and let the crew set the activity plan for conditions. A playlist and a few photographs may be enough; a DJ or complex decoration setup is not compulsory.
Approve the final version together
Build the estimate, reconcile it with the agreed passenger and contributor lists, then review the confirmed booking terms. An estimate does not reserve the yacht. Send the group the final total and plan after the arrangements are accepted, so everyone knows what they are paying for.
