Plan a corporate yacht outing around the purpose of the event, the full guest list and the practical needs of the group. H2OH serves guests staying in Playa del Carmen, but every charter boards at Puerto Aventuras Marina. A private celebration or team outing is different from a meeting room: confirm the space, sound and equipment before putting a presentation on the agenda.
Decide what the outing must achieve
Choose one main purpose: a team celebration, client hospitality, an informal networking session or a short welcome before leisure time. Identify anything essential, such as a group photograph, a short speech or seating for a meal. Then choose the group charter that can accommodate those requirements.
A private booking keeps unrelated paying guests off your charter. It does not guarantee confidentiality: crew and any approved vendors remain aboard, and nearby boats, cameras and conversations are outside your full control. For sensitive work, use an appropriate private meeting setting on land. Agree on photography and recording arrangements with your attendees and the operator.
Use capacity as the first filter, not the complete event plan
The published H2OH fleet lists Dos Piratas for up to 48 guests, Texas for up to 55, and Piratas de Tejas and Pura Vida for up to 80 each. These are maximum guest counts, not the base-price allowance or a promise of seated conference capacity.
For a 50-person outing, Dos Piratas is below the published guest requirement; Texas, Piratas de Tejas and Pura Vida can enter the initial comparison. For 60 guests, the two 80-guest yachts are the capacity candidates among those four. Availability, usable seating and the proposed setup still need checking. Disclose outside photographers, presenters and other vendors so the operator can account for everyone aboard.
Compare the facilities needed for your agenda
Corporate yacht event planning checklist| Requirement | What to establish before booking |
|---|
| Welcome speech | Where guests gather, whether everyone can hear, and the available microphone or speaker connection. |
| Slides or video | Whether the selected yacht has a usable screen, compatible connection and suitable viewing position. Carry an offline copy. |
| Networking | Seating, shade and music volume that allow conversation; do not assume all areas are quiet. |
| Meal service | Menu, dietary requests, serving sequence and the number of guests who can eat together. |
| Access needs | Boarding steps, handholds, toilets, movement between decks and assistance available. Do not infer accessibility from overall yacht size. |
| Water activities | Who wants to participate, who will remain aboard and which activities belong to the selected itinerary. |
Match the route to the time available
Compare a two-hour evening charter for time together aboard, a three-hour Xpu-Ha outing for a daytime celebration, or four-hour InHa snorkeling when water time is a priority. Charter duration includes the return to the marina.
A workable agenda can put the welcome after boarding and the safety briefing, followed by the selected cruising or water activity, food service and social time. Agree on the sequence with the crew; do not promise a fixed stop, beach barbecue, shore excursion or extended return without confirmation. The captain determines suitable routing and activities for conditions.
Coordinate transport before issuing the final invitation
Collect exact hotel addresses, passenger counts at each pickup, accessibility requests and one responsible contact for each vehicle. The transportation page lists vans for up to 14 passengers and buses with 27-52 seats, subject to a specific quote and availability. A 50-person group does not fit one standard van.
Publish the confirmed pickup time and marina arrival time separately. H2OH asks guests to arrive 20 minutes before departure. Allow road travel after the charter as well; the boat’s scheduled return is not the time everyone reaches a Playa del Carmen hotel.
Prepare one complete purchasing brief
Send the date, alternate date, headcount, selected itinerary, hotel list, meal and beverage preferences, equipment needs and proposed extras. Regular All-Inclusive charters include captain, crew, meals and open bar; Family and Custom Series arrangements differ. An included meal is not a promise of any bespoke menu or a dedicated private chef.
Request separate amounts for the base charter, additional guests, marina fees, transport, equipment or vendor arrangements, optional extras and applicable payment charges. Identify who approves changes and who receives the booking confirmation. Check cancellation and weather terms before committing company funds.
Start with H2OH options for Playa del Carmen guests and build the yacht estimate. The event plan, not an unsupported promise of higher productivity or unlimited customization, should determine the booking.
