Choose the Riviera Maya for the wedding experience that suits your guests, then test the plan against travel, venue, budget and weather requirements. A beach ceremony, hotel reception and private yacht outing are different bookings. This guide turns twelve wedding-planning considerations into decisions you can record before paying deposits.
1. Decide which event belongs on the yacht
Choose a welcome cruise, symbolic ceremony, reception or day-after outing. A welcome trip can bring guests together without moving the main ceremony from land. H2OH’s wedding charter information is the starting point for matching the event to a yacht.
2. Separate your hotel area from the boarding point
All H2OH charters depart Puerto Aventuras Marina. Guests staying in Tulum, Akumal or Playa del Carmen travel to that same marina. A destination name in an invitation is not a meeting point; send the actual address and pickup entrance.
3. Keep a guest list for each event
Record who joins the ceremony, yacht and other activities separately. Count the couple, children and guests whose costs someone else covers. Tell the operator about outside vendors. A wedding-weekend headcount is not automatically the charter headcount.
4. Check the vessel limit and the event layout
H2OH’s fleet comparison lists Dos Piratas for up to 48 guests, Texas for 55, and Piratas de Tejas and Pura Vida for 80 each. Those limits do not promise the same number of dinner seats or a ceremony aisle. Request the arrangement for your actual event before finalizing invitations.
5. Compare complete budgets, not venue headlines
Separate accommodation, charter or venue, additional guests, food, drinks, marina fees, transport, vendors and payment charges. The named wedding packages include services that regular charters may not, so do not price them as identical products or charge an included service twice. No destination or month guarantees a cheaper wedding.
6. Plan for weather rather than a sunshine statistic
The National Hurricane Center defines the Atlantic and Caribbean hurricane season as June 1 through November 30. That is a seasonal planning consideration, not a forecast for your wedding day. Neither those dates nor a different month guarantee rain or calm water. Agree on a backup plan and read each supplier’s cancellation terms before booking.
7. Match photographs to the actual departure
Give the photographer your date, confirmed cruise time and priority pictures. An evening departure can be after sunset, and a four-hour afternoon trip is not automatically a sunset cruise. Compare evening options before promising golden-hour photographs.
8. Keep the legal and symbolic arrangements distinct
A symbolic ceremony is a personal celebration, not civil registration. Mexican consular guidance explains the distinction between civil and religious marriage. Confirm your own documents, appointments and legal requirements with the relevant Registro Civil rather than relying on a generic wedding checklist.
9. Describe cultural requests accurately
Name the music, food or ceremony element you want and ask the practitioner to explain its meaning and requirements. Do not treat all Mexican traditions as interchangeable with Maya practices or use a cultural label as decoration. Check the provider’s role, language, location and fee before including the service in an invitation.
10. Agree on meals and the working language
Provide dietary needs, portions and service timing to the catering team. Request a clear answer about what can be accommodated; a meal inclusion does not promise an allergy-free kitchen. Agree on the language used for the ceremony, briefing and coordination instead of assuming every supplier provides the same bilingual service.
11. Make optional outings genuinely optional
Leave space for rest or a separate cultural visit. INAH’s Tulum visitor information provides access and opening details for the archaeological site. A visit to ruins or a cenote is a land-based activity; visitor admission does not by itself book a private wedding venue or add the site to an H2OH route.
12. Put one organizer in charge of the final version
Use a short event sheet with the date, venue or yacht, guest count, pickup, marina arrival, event sequence, return, approved extras and supplier contacts. H2OH asks for marina arrival 20 minutes before departure. Use transportation guidance and add the return journey before another reservation.
Request a written wedding quote after those decisions are clear. The regular yacht estimate helps compare charter options, but a wedding package and its essential requests need separate confirmation. Review the H2OH cancellation and weather policy before payment.
